Deactivate a user from your group

Who can do this?

  • Practitioners: Full Access

  • Administrators: Full Access

Deactivating a user prevents them from signing into your practice group. This retains the user’s calendar and patient records in Halaxy but removes their access to them.

If they are part of another practice group, they may also deactivate their own accounts when they leave your practice.

Tip

If you want to retain a practitioner's access to their own records but prevent them from making any changes to your practice, you can give them read-only access instead of deactivating them.

Pre-deactivation checklist

Before you deactivate a user account, review the checklist below to ensure that the user's settings are in order.

  • Disable online booking and online directory profile: If the user has any online booking setup, you can disable their configuration.

  • Disable integrations and add-ons: If the user has personal integrations, disable any configurations under Settings > Integrations/Add-ons.

  • Disable Halaxy credits auto top up: If the user has automatic top-up enabled in your practice group, disable this setting.

  • Disable individual appointment reminders setting: If the user has a custom individual appointment reminder setting, you can delete their setup.

  • (Optional) Allow them to export their own data: If the user is leaving your practice and requires a copy of their own personal records, you can allow them to export their own personal data.

Deactivate a user

  1. Click Settings > Users.

  2. Under your practice group, next to the user’s name, click the Icon-X.svg X icon.

  3. In the pop-up, click Deactivate.

The user’s name now appears in your group list in grey. They are signed out of your practice group on all their devices and can no longer sign back in.

Important

You cannot deactivate a Full Access user. If you want to deactivate a user who also has Full Access, you must change their access level to a lower access level before you can deactivate them.

Note

To reactivate a user, simply click on the Icon-Edit.svg pencil icon and select Activate User.
